SmartReplyAssistant works wherever your customers do — and they don't all write in the same language. A support inbox can easily mix English, German, Spanish, and a dozen others in a single afternoon, and switching mental gears for each one is exhausting. The plugin takes that load off you: it detects the incoming email's language, can translate the message into the language you read most comfortably, and can draft your reply either in the customer's language or in yours. How language detection works
Every time you open an email, SmartReplyAssistant looks at the text and figures out which language it is written in. This happens automatically in the background — you don't have to tell it anything. The detected language is then used for two things: deciding whether a Translate action would help you, and knowing which language a customer expects to hear back in.
- Detection is per message, so a single thread can mix languages and each reply is handled correctly.
- If a message is short or ambiguous, the plugin leans on the rest of the thread for context.
- Detection feeds both the Translate action and the answer language setting described below.
The Translate action
When an email arrives in a language you'd rather not read, click Translate. The plugin renders the message in your reading language while keeping the original on hand, so you always know what the customer actually wrote.

Your reading language
Your reading language is the one SmartReplyAssistant translates incoming messages into. You set it once in Options / Settings:
- Open the plugin Options.
- Pick your reading language from the list.
- Save — that's it.
Note: changing the language in the plugin options also updates it in your SmartReplyAssistant account, so the web app and the browser plugin always agree. You only have to set it in one place.
Choosing the answer language
The answer language controls which language your reply is drafted in. You have two natural choices:
- Reply in the customer's language — best for support, where customers feel cared for when you meet them in their own tongue.
- Reply in your language — handy when a colleague or specialist will read the draft first, or when an automated translation step runs afterward.
You can switch the answer language per email, so a multilingual inbox never forces a single rule on every conversation.
Review sensitive replies
Automatic translation is fast and usually excellent, but it is not infallible. For anything that carries legal, financial, or emotional weight — refunds, complaints, contractual wording, apologies — a human should read the reply before it goes out. Treat the draft as a strong starting point, not a final answer, and skim the original message to confirm nothing was lost in translation.
The knowledge base keeps terminology consistent
Translation alone can drift: the same product name or policy phrase might come out three different ways. Your knowledge base prevents that. Because SmartReplyAssistant pulls product names, tone, and standard phrasing from your knowledge base, the wording stays consistent across every language you reply in. Update a term once, and every future reply — English, German, or anything else — uses it correctly.
