Welcome to SmartReplyAssistant. This guide walks you through writing your very first reply, from installing the browser plugin to inserting a polished answer back into Gmail or Outlook. The whole process takes just a couple of minutes, and you do not need any technical knowledge to get going. By the end, you will have a working setup and a draft reply ready to send.

What you need before you start

SmartReplyAssistant lives inside your inbox as a browser plugin. It drafts replies that are grounded in your own knowledge base, and it can also summarize and translate messages. To use it, you need a free account and the plugin installed in your browser. The free plan includes 1 workspace and 3 knowledge entries, which is plenty to test how everything works before you decide to upgrade. There is nothing to download beyond the plugin itself, and your knowledge base is stored safely in your workspace.

Install the plugin and connect your token

The plugin connects to your account using a personal token. Think of the token as a secure key that links the plugin in your browser to your workspace in the cloud. You generate this token once in your Dashboard and paste it into the plugin.

  1. Sign in to SmartReplyAssistant and open your Dashboard.
  2. Go to Dashboard → Plugin and click Generate token.
  3. Copy the token to your clipboard.
  4. Install the SmartReplyAssistant browser plugin from your browser's extension store.
  5. Open the plugin, paste your token into the token field, and confirm.
  6. You are now connected. The plugin remembers your token, so you only do this once.

If the plugin ever shows you as signed out, simply return to Dashboard → Plugin, generate a fresh token, and paste it again. Keep your token private – anyone with it could connect to your workspace, so treat it like a password.

Open an email and click the blue bubble

Once connected, the assistant appears wherever you read mail. You do not have to switch tabs or copy anything across windows – it works right on top of your inbox.

  1. Open Gmail or Outlook in your browser.
  2. Open the email you want to work with.
  3. Look for the blue bubble that SmartReplyAssistant places near the message.
  4. Click the blue bubble to open the action menu.

If you do not see the bubble, refresh the page once after installing the plugin. The bubble appears on individual emails, so make sure a message is open rather than just your inbox list.

Choose an action

From the menu you can pick one of three actions. Here is what each one does:

Action What it does When to use it
Summarize Condenses a long email or thread into the key points. Long messages you want to grasp quickly.
Translate Renders the message in another language while keeping its meaning. Messages in a language you do not speak fluently.
Reply Drafts a complete reply grounded in your knowledge base. When you are ready to answer the sender.

You can mix and match these. For example, summarize a long incoming message first to be sure you understood it, then click Reply to draft your answer.

Write your first reply

To create your first draft, click Reply. SmartReplyAssistant reads the email, checks your knowledge base for relevant facts, and writes a suggested answer in seconds.

  1. Click the blue bubble, then choose Reply.
  2. Wait a moment while the assistant drafts your answer.
  3. Review the draft. Edit the tone or any details directly in the box.
  4. When you are happy, click Insert to drop the text into your reply field.
  5. Add a personal touch if you like, then send the email as usual.

You stay in control at every step. The assistant only inserts text when you click Insert, so nothing is sent without your review. If a draft is not quite right, you can adjust your wording and generate again, or simply edit the text by hand before inserting it.

Better knowledge means better replies

The quality of every reply depends on what the assistant knows about you and your business. The more relevant knowledge entries you add, the more accurate and on-brand your drafts become. Start with the essentials: your products, your opening hours, your shipping and refund rules, and answers to your most common questions. Even on the free plan with 3 entries, you will notice a clear jump in quality compared to an empty knowledge base.

A good first step is to add one knowledge entry for your most frequently asked question, then click Reply on a real email and watch how the draft pulls in that information. As you handle more conversations, you will spot the gaps worth filling, and each new entry makes future replies sharper.
